Privacy Policy

This Privacy Policy explains how Answerly(“Answerly”, “we”, “us”), part of the Leximo product family, collects, uses, and protects personal information when you use our AI receptionist service (the “Service”). It also explains how we handle information about the people who call businesses that use Answerly (“Callers”).

1. Who is responsible for your data

For information about you (the business owner or account holder), Answerly is the data controller. For information about your Callers that our AI collects on your behalf (such as names, phone numbers, and appointment details), you are the controller and Answerly acts as your processor — we process that data only to provide the Service to you and under your instructions. You are responsible for having a lawful basis and any required notices or consents for collecting Caller data.

2. Information we collect

From account holders

  • Account & business details— business name, type, timezone, business hours, your AI’s name and chosen voice, and your email address.
  • Payment information — handled by our payment processor, Stripe. We never see or store your full card number; we keep a customer/subscription identifier and billing status.
  • Calendar connection — when you connect Google Calendar or Outlook, we store OAuth tokens and read/write availability and events to book appointments. We only access the calendar you select.
  • Usage & device data — pages visited, actions taken, approximate device/browser info, and diagnostic logs.

From phone calls (Caller data)

  • Call recordings and transcripts, the Caller’s phone number, and any details the Caller provides to book or manage an appointment (for example, name, contact number, and reason for visit).
  • Call metadata — time, duration, outcome, and a short AI-generated summary.

3. Call recording & consent

The Service answers and may record and transcribe calls to book appointments, generate summaries, and improve reliability. At the start of a call, the AI provides a brief notice that the call may be recorded. Laws on call recording vary by jurisdiction — some require the consent of all parties. You are responsible for ensuring recording is lawful where you and your Callers are located, including providing or obtaining any further notice or consent required. You can adjust the greeting your AI uses in your dashboard settings.

4. How we use information

  • To provide, operate, and maintain the Service — answering calls, checking availability, and booking appointments.
  • To process payments and manage your subscription.
  • To send service communications, including your passwordless sign-in links.
  • To secure the Service, prevent abuse, and debug problems.
  • To understand product usage and improve the Service (analytics).

Where required (for example in the EEA/UK), we rely on lawful bases including performance of a contract, our legitimate interests in operating and improving the Service, your consent (for non-essential cookies/analytics), and compliance with legal obligations.

5. Sharing & sub-processors

We do not sell personal information. We share data with service providers who process it on our behalf to run the Service:

We may also disclose information if required by law, to protect rights and safety, or in connection with a merger, acquisition, or sale of assets.

6. Cookies & analytics

We use a small number of essential cookies to keep you signed in and to operate the Service. With your consent, we also use analytics (Mixpanel) to understand how the Service is used. You can accept or decline non-essential analytics via the cookie banner, and essential cookies are always required for the Service to function.

7. Data retention

We keep account data for as long as your account is active and as needed to provide the Service. Call recordings, transcripts, and appointment records are retained to power your dashboard and history; you can request deletion of specific records or your account at any time. Abandoned onboarding drafts are automatically expired.

8. Security

We use industry-standard measures including encryption in transit, signed and HTTP-only session cookies, scoped OAuth access, and authenticated webhooks. No method of transmission or storage is 100% secure, but we work to protect your information and that of your Callers.

9. International transfers

Our providers may process data in the United States and other countries. Where required, we rely on appropriate safeguards (such as Standard Contractual Clauses) for international transfers.

10. Your rights

Depending on where you live, you may have rights to access, correct, delete, or port your personal information, and to object to or restrict certain processing. EEA/UK residents may have rights under the GDPR; California residents may have rights under the CCPA/CPRA, including the right not to be discriminated against for exercising them. To exercise any right, contact us at the email below. For Caller data we process on a business’s behalf, please direct requests to that business.

11. Children

The Service is not directed to children under 16, and we do not knowingly collect their personal information.

12. Changes to this policy

We may update this policy from time to time. We will revise the “Last updated” date above and, for material changes, provide additional notice where appropriate.
